Scheduling Coordinator (Chattanooga Heart - Main Office)Full Time - First Shift (2510005194)


Job Summary :

Responsible for making patient appointments, rescheduling appointments and no-shows and answering all incoming scheduling calls for all offices from patients, referring physicians and hospitals.

Essential Duties:

  • Check patients in at time of appointment, this includes but is not limited to verifying insurance, updating demographics, downloading medication list from eprescribe, MSSP forms completions, scanning insurance card and verifying insurance, completion of HIPAA forms and creating a fee ticket for clinical staff.

  • Check patients out - this includes but is not limited to making a return appointment, collecting account balance, copays, co-insurance, creating recall, schedule appropriate imaging, labs, radiology, pulmonary tests with the appropriate hospital location and coordinate with upcoming appointment with physicians, creating patient portal tokens and explaining patient portal instructions, and directing the patient to the correct location to schedule imaging or hospital procedures.

  • Enter imaging and lab orders into EHR - obtain orders for various labs and diagnostic tests and enter the data into EHR.

  • Locate orders for imaging and lab staff when they are unable to locate orders in order facilitator.

  • Track and respond to correspondence in order facilitator to ensure that any concerns from the hospital are addressed in a timely manner.

  • Make reminder appointment phone calls to patients as outlined by management.

  • Work the patient no show report from practice management system to ensure that patients are placed back on the Physician schedule.

  • Track patients who no show to send report to management per policy guidelines.

  • Weekly recall report - approximately 1000-1500 patients weekly. Call the patients, schedule appointments with physician or for imaging and lab and send reminder cards per guidelines.

  • Receive and complete tasks from clinical staff within the practice management system. Tasks should be worked daily.

  • Ensure all physician schedules are filled and scheduled appropriately.

  • Complete the rescheduling of tasks sent from schedule/template changes.
