Job Summary

This position contributes to the mission of Alegent Health by providing support and assistance to the Operations Director or Operations Leader, while prioritizing and organizing business office functions.

Essential Duties:

  • Assist Operations Director or Operations Leader as directed.

  • Provide clerical assistance and expertise to all staff members as needed.

  • Assist with telephone receptionist responsibilities, directing calls as needed, and conveying messages as appropriate.

  • Distribute mail and interoffice communications in a timely and accurate manner.

  • Assist with daily financial transactions and record keeping as needed.

  • Greet, direct, and assist visitors as needed.

  • Assist the Operations Director or Operations Leader with monthly billing process or other projects as assigned.

  • Establish and maintain computer generated mailing lists for regular mailings. Maintain and update databases of information as needed.

  • Coordinator Policy and Procedure creation and updating with Alegent Health Document Management department.

  • Order and maintain adequate office supply levels.

  • Performs all other duties as assigned.

  • Participates in all safety, security and infection control programs that are mandatory as well as those required and provided by the department.

Hours: 40 hours per week. Shared administrative services between Nursing Services and Emergency Services




Preferred: Two years previous office or secretarial experience

3 years previous office experience.


Preferred: High school diploma or equivalent.

Preferred: Related business courses.


Good interpersonal skills and the ability to interact with the public in a positive manner; professional demeanor; ability to exhibit patience in working with a geriatric population. Strong computer skills required to include WordPerfect, Microsoft Office and PowerPoint. Ability to work in a multi-faceted, fast-paced environment. Experience with multi-line telephone system and basic office machines. Must have the ability to respect confidentiality regarding residents and staff information; attention to detail, ability to prioritize. Must demonstrate professionalism, teamwork and a high level of motivation.
