The office coordinator is responsible for all office and secretarial functionsfor the facility. This individual servesas the primary point of contact for all external and internal customersincluding patients, physicians, other health care providers, and payers. The office coordinator is responsible forscheduling patients who participate in therapy services. This involves a wide range of functions. The office coordinator is responsible forobtaining all necessary intake information from referral sources. Insurance verification responsibilitiesinclude obtaining precertifications and or referrals and obtaining therapycontinuation authorizations. When timelyinsurance verification by finance is not available, the office coordinator maycontact the insurance company directly to determine benefits in order to insuretimely admission of patients. The office coordinator works with insurance casemanagers and physician offices to seek authorizations and is critical inrepresenting the organizations in this contact. The office coordinator contacts patients to coordinate therapy schedulesand is responsible for accurate admission of patients to the facility ensuringthat all demographic information is accurate and properly entered into thecomputer systems. The office coordinatoris responsible for the collection of insurance co-pays from the patients. The office coordinator performs daily datareconciliation to ensure billing accuracy, documentation completeness andtracking of various quality indicators. Additional duties include: report preparation; charge entry, Kronos timekeeping,and clinical record maintenance. Finally, the office coordinator functions as an effective team memberand contributes to the development and achievement of department andorganizational goals and objectives.


Education: High school diploma or equivalent. Specialized office training strongly preferred.

Required Experience: Minimum one year of office related experience required, with medical/therapy office experience preferred. Employee should be familiar with general medical office procedures, medical terminology; insurance terminology; insurance requirements for therapy services to include knowledge of precertifications, referrals, and prior authorizations; and a general understanding of the Medicare and Medicaid systems.

Licensure: None required.

Skills: Effective time management. Effective oral and written communication skills. Secretarial skills to include telephone reception, typing/word processing 40 wpm, filing, and computer skills. Must be able to perform multiple tasks simultaneously. Must be able to effectively use Microsoft Office to include Excel and WORD.

Equipment: Standard office equipment including telephone, fax, copier, computers, scanner and credit card machine.
