Job Summary

Supports day to day laboratory operations by performing patient registrations and order entry details in multiple computer systems. Duties include entering insurance, diagnosis codes, demographic data; release of orders from the electronic medical record (EMR), labeling and processing of samples for testing at CHI-FH laboratories and reference laboratories, and distribution of clinical laboratory specimens. Samples and orders received are reconciled to Lab Information System reports to assure all testing is completed as ordered and redraws are minimized working with the courier department when needed. An incumbent may provide guidance to new employees/students on complex orders and sample handing requirements and provide audit details for retraining. An incumbent may provide guidance to new employees/students on department procedures and policies. Work is conducted in accordance with all regulatory accreditation agency requirements.

Essential Duties

Accesses hospital and lab information system programs to perform registration, ordering, sample labeling, log-in, test cancellation, test add-on, etc. and final disposition into the sample inventory system/storage program. Problem solves initial tests requisitions and sample(s) without provider input. Completes follow up protocol and maintains audit trail for ambiguous orders or issues. Resolves concerns in accordance with department procedures with minimal supervision.

Provides communications support using established customer service standards.

Performs processing duties and prepares samples for testing to include: validating patient identity, labeling, centrifugation, aliquoting, and preserving sample integrity. Test ready samples are delivered for testing or packaged for dispatch following specific guidelines.

Triages all samples received for outpatient processing.

Evaluates and reviews orders for accurately from external and internal sample submitters.

Reconciles pending reports to orders received; completes a follow up and enters case into client relationship management software for next day follow up with clients. Recognizes and responds to issues to prevent patient recollection when possible.

Completes follow up protocol and maintains audit trail for ambiguous orders or issues to bring resolution to concerns in accordance with department procedures.

High school (or GED equivalent) required. Two years of recent related work experience in phlebotomy reference lab or other Patient Service Center required. One year of insurance collection/data entry work experience that demonstrates attainment of the requisite job knowledge and skills/abilities preferred.
