Scheduling Coordinator (Chattanooga Heart - Gunbarrel Office)Full Time - First Shift (P000119533)


Position Summary

Responsible for making patient appointments, rescheduling appointments and no-shows and answering all incoming scheduling calls for all offices from patients, referring physicians and hospitals.

Essential Functions

  • Check patients in at time of the appointment

  • Check patients out

  • Enter imaging and lab orders into EHR

  • Track and respond to correspondence in order facilitator to ensure that any concerns from the hospital are addressed in a timely manner

  • Make reminder appointment phone calls to patients as outlined by management.

  • Work the patient "no show" report from practice management system to ensure that patients are placed back on the Physician schedule.

  • Weekly recall report - call the patient, schedule appointments with physician or for imaging and lab and send reminder cards per guidelines.

  • Receive and complete tasks from clinical staff within the practice management system.

  • Ensure all physician schedules are filled and scheduled appropriately.

  • Complete the rescheduling of tasks sent from schedule/template changes.

  • Quality checks on assigned schedule to be completed six weeks out to ensure that patients are scheduled correctly, insurance is acceptable and patient is seeing the correct physician.

  • Post copays in practice management system. Keep log of all payments received that are not posted in the practice management system; run reports daily to ensure that collections balance with log and practice management; print report; reconcile collections and deliver to accounting daily.



  • High school diploma or equivalent


  • One or more years in a medical office environment
