This position schedules all

patient visits and special procedures for Surgical Services, avoiding conflicts

and assuring communication of vital information to required parties. The Surgery Scheduler, as our first line

customer service representative, maintains a professional demeanor and

appearance that promotes department goals.

Essential Functions

  1. Schedules allpatient surgeries, along with any special procedures ordered for the MainOperating Room, Outpatient SurgeryCenter as well as Off Site Anesthesia cases.

  2. In depthknowledge of case duration, including the acuity of the patient as well asthe added time for trauma and other possible procedures based on thesurgeon performing the case.

  3. Maintainsknowledge of fellows’ and physicians’ schedules and special needs, anduses information to avoid scheduling conflicts.

  4. Maintainsfamiliarity with referring physicians and their staff and uses theinformation to provide superior customer service to patients andphysicians.

  5. Understandsconflict scheduling, and takes the necessary steps to avoid errors.

  6. Providesaccurate scheduling information for both internal and external customers.

  7. Understands andfollows OR Blocks for the physician or services, block time schedules.

  8. Verifiesdemographic information is correct in the Hospital Information System.

  9. Schedules PreadmissionTesting appointments.

  10. Print surgeryschedules, MD Scheduling and Activity reports as well as other forms asneeded.

  11. Verify all casesday before surgery.

  12. Enter Anesthesiaand Nursing assignments into the scheduling program.

  13. Notify teamleaders of special equipment and requests and Call Sales Reps when needed.

  14. Verify and approve Vendor visitstrough the Vendor Credentialing System.

  15. Contactsperfusionist, cellsaver, Neuro monitoring, Endo, KTP Laser, OmniguideLaser, etc..

  16. SchedulesIntra-Op Tee, EMG, SSEP, Cord Monitoring etc with departments involved.

  17. Orders specialdrugs. Tobra beads, Chemo, Mitomycin etc…

  18. Order officesupplies - Keep supplies stocked.

  19. Serve as liaisonfor physicians between patients, clinics and private offices.

  20. MonitorPhysician suspensions for delinquent medical records and Notify residentsof suspensions for un-dictated OP notes.

  21. Verify allsurgeon privileges through med staff and communicates with the medicalstaff office.

  22. Validate withAdmissions that all surgery’s scheduled for the next day are clear ofinsurance authorization problems that may impact the hospital financially. Notify management if needed.

  23. Personallycollaborates with surgeons to solve problems, resolve conflicts andensures the highest quality of patient care.

  24. Assist the Anesthesiadepartment lead with the OR schedule and any other related issues.

  25. Performs otherduties as assigned by authorized personnel or as requested to meet theneeds of the facility as well as internal and external customers andcross-trains to perform other appropriate clerical tasks.

Qualifications

Education/ Accreditation / Licensure (required & preferred):

High School Diploma or GED required.

Experience (required and preferred):

Hospital or outpatient

scheduling experience required. Medical terminology knowledge required.

Knowledge of computer program applications is preferred.
